We have created these FAQ's to help support couples in the planning of your special day with us at Scaplen’s Court. Hopefully this information will help towards answering some of the initial questions you may have.

1) Site visits
Can suppliers i.e. caterer / photographer / venue decorator etc visit?
We strongly recommend that every supplier visits Scaplen’s Court as least once prior to the wedding day, particularly if they have not supplied at Scaplen’s Court before. We are happy to meet with suppliers by appointment. Please contact us to arrange.
2) Access times
When can we / our suppliers gain access on the wedding day and can we access the day before?
If you are having your full day (ceremony and reception) with us, access for you and / or your suppliers can be arranged from no earlier than 10am on the day of the wedding, and by prior agreement only.
For ceremonies only, access is permitted from one hour before your ceremony start time. For other hires i.e. bespoke hires, access arrangements will be discussed with you on booking.
We can arrange access (for you to come and deliver items, add finishing touches etc) and / or for receipt of deliveries during the afternoon the day before the wedding, this must be by appointment only and for a maximum of three hours (generally between the hours of 12noon and 3pm). Additional hours can be arranged at a cost, please enquire.
What are Scaplen’s Court closing times?
Please be aware all functions, whether taking place on a weekday or weekend, have a closing time of 12 midnight.
Thus the bar must close no later than 11.30pm and music to stop no later than 11.45pm.
When do we need to clear away after our wedding?
At the end of the day or evening all equipment must be removed or can be left in the ground floor storage room for collection - please be advised items are left at your own risk.
Caterers and bar providers must clear away anything food and drink related. All other suppliers are responsible for clearing any items that they have bought into the building.
Suppliers are responsible for clearance of their equipment and rubbish – we do not have provision for this.
Collection can be arranged, by appointment, on the next working day (Monday to Friday, 9am – 5pm). If you would like to collect on a weekend, it may be possible to arrange by appointment at an additional charge, please enquire.
3) Vehicle access and deliveries
Can cars park outside Scaplen’s Court?
Before 10am and after 10pm – Vehicle access for drop off and collection is permitted in the loading bay opposite Scaplen’s Court, along the High Street. There are also a couple of other options available locally, one on Paradise Street opposite Scaplen’s Court (between Poole Museum and Da Vinci’s restaurant) and another along Sarum Street (the road that leads up to the Rope and Anchor pub, next door to Scaplen’s Court) accessed via Thames Street.
Between 10am and 10pm - Please note the High Street is closed to vehicles during this time. The closest loading bay is along Sarum Street (the road that leads up to the Rope and Anchor pub, next door to Scaplen’s Court) accessed via Thames Street.
Once you have finished unloading, your vehicle must be moved. There is no dedicated parking at Scaplen’s Court, but the Quay Visitors Car Park is within 5 minutes walk (Old Orchard Car Park, BH15 1SB).
Can the Bridal car pull up at the front of Scaplen’s Court?
On your wedding day the Bridal car may pull up in front of Scaplen’s Court main entrance to allow the arrival of the wedding party. Please note once the Bridal party have arrived the vehicle must be moved, however can return for collection of the couple after the ceremony.
4) Scaplen's Court - The building
Is Scaplen’s Court accessible for wheelchairs?
We can arrange level access to the ground floor of Scaplen’s Court. The first floor is only accessible by staircase (there is no lift facility). We must make you aware as should your ceremony be taking place in the Upper Hall, if you have guests with mobility difficulties, they may not be able to access the ceremony.
Are there toilet facilities?
Toilet facilities for both guests and staff are situated on the ground floor, off the main reception room.
Is confetti permitted?
Only natural petal confetti is permitted and in the walled garden only. We do not permit the use of alternatives i.e. biodegradable varieties, rice, bird seed etc.
Does Scaplen’s Court have wifi?
We regret that Scaplen’s Court does not have wifi currently.
What is the maximum capacity of Scaplen’s Court?
Capacity cannot exceed 58 people during wedding ceremonies. This must include the couple, guests and any additional staff, such as live musicians for example (this does not include two Registrars taking the service who are counted separately).
Up to 80 guests total can be accommodated for the evening reception (including the couple) across the whole building and garden, providing the first floor does not exceed 60 people at any one time.
Do you have a list of recommended suppliers?
We do not have a list of recommended suppliers that you must use. We are pleased to be able to offer you flexibility over how you plan your day, with a choice of caterers and other suppliers allowing you to create a truly individual day. We can provide a directory of local companies to give you guidance when selecting your suppliers. Please contact us for further information.
It is your responsibility to provide the following information to us for all suppliers:
- ·Company name, address and contact information – including email and telephone number for on the day.
- ·Access requirements – both arrival times on the day and collection arrangements.
- ·Copy of Public Liability Insurance.
- ·Food Hygiene Certificate (where appropriate).
- ·Risk Assessment.
- ·Evidence of PAT testing of any electrical equipment (Please note all electrical items you / your suppliers intend to bring must be discussed and agreed with our Wedding Team ahead of the day).
6) Catering and wedding breakfast
Can we choose our own caterers?
Yes, we do not supply catering. Please see the above supplier details.
Is there a kitchen or cooking facilities at Scaplen’s Court?
Please be aware Scaplen’s Court has no cooking facilities. Your caterer would need to a mobile type caterer who would supply any equipment they require.
There is a Kitchenette on the first floor. This area is a basic, small space with a few surfaces and a sink with hot and cold running water. It tends to lend itself to more of a clear away area.
As our venue is so unique our Wedding Team will liaise with you and your caterers in order to advise on and recommend the most suitable space for setting up catering equipment and for food preparation. On most occasions our laundry and back of house area becomes this designated space. This area can be made clear, providing space to allow your caterers to supply mobile equipment that is required. There are 4 power sockets around the room.
We can supply some trestle tables by arrangement, please enquire. If using our surfaces / tables we require provision to be made for heat / surface protection where necessary.
We always recommend your caterer double check the facilities before the day.
What kitchen / cooking equipment are caterers permitted to bring in?
All electrical items you intend to bring must be discussed and agreed with our Wedding Team ahead of the day. Electrical items such as mobile hot plates etc are generally permitted, on the basis that evidence of PAT-testing is provided along with documentation including public liability insurance and a risk assessment.
Open flame burners, smoke chips and deep fat fryers are not permitted within Scaplen’s Court.
Is there refrigeration?
We have a small amount of refrigeration space within a domestic refrigerator and wine refrigerator located in the back of house area suggested above. We would recommend you consider your requirements and the requirements of your caterer and bar supplier as they may likely need to provide additional facilities for their usage.
How many guests can we fit around the tables?
Our rectangular top table can seat up to 8 people maximum (with 6 people across, and 1 at each end). Our 5ft round tables can seat 8 - 9 people maximum.
Do you supply highchairs?
Yes, we have 3 highchairs that can be used. Please advise if you would like use of these when finalising your plans with us.
Do you supply linen, tableware, crockery, cutlery and glasses?
These items are not provided with the venue. You would need to consider hiring in these items. Caterers and bar suppliers would normally supply these, however if you require any help, our Wedding Team will be on hand to offer guidance.
Can we have a hog roast or BBQ?
Yes, with agreed permission from us. There is possibility outside within our walled garden, however there are factors to consider i.e. space, health and safety, etc before we agree permission. If you are considering this option we will be happy to discuss arrangements.
Please note, in our experience, most hog roast equipment where the whole hog is displayed cannot fit through the access into our walled garden - we advise you check this with your supplier before placing a booking.
7) Drinks and bar
Do you provide drinks and / or service staff?
Should you wish us to organise your drinks reception after the ceremony, drinks for your guests can be ordered by the glass in advance, please enquire for further details.
Alternatively, if you choose to supply your own drinks for your drinks reception, we can provide service for a small charge per guest. This service charge includes receiving and storing your drinks by arrangement in advance of your wedding day, chilling as appropriate, glassware and service, recycling of empties and re-packing un-opened bottles. This service is charged at £3 per guest.
Can we supply our own alcohol?
We do permit you to supply your own alcohol for your drinks reception. If considering this option please factor in provision of glassware, equipment, service staff, clearance and recycling of empties. We would recommend you either talk to your caterer regarding how they may assist or arrange with us our additional service staff, as detailed above.
What are the bar arrangements?
We do not have a bar on site, though we do hold a premises license. As such, we expect your bar and drinks for your evening do to be provided and served by a professional supplier you have arranged, on most occasions this would be a mobile bar company, however could be arranged with your caterer as some do also provide this service as a complete food and drinks package.
Can our caterers supply alcohol?
Yes, you can arrange for your caterers to supply and serve drinks for all aspects of your wedding.
Can we hire a mobile bar?
Yes, we do not supply a pay-bar. Please see the earlier bar arrangements details.
Are we able to decorate?
We are happy to accommodate you in adding your finishing touches to Scaplen’s Court and can arrange prior access for you and / or your florists, venue decorators etc. Please see access times above.
In the main room (Upper Hall) we have permanent decorations hanging from the beams. We do not permit hirers to hang any other decorations from the beams or from a height themselves. If you would like additional hanging decorations you must use a professional venue decoration company and can only add to the existing decorations as these cannot be removed. You are welcome to add chair covers, bows, table decorations etc.
Scaplen’s Court is a Grade I listed building and scheduled ancient monument. And with this in mind there are certain things which we may not be able to permit in order to keep it as beautiful as it is. We are always happy to advise so please do contact our Wedding Team with your ideas.
Are candles permitted?
Due to the historic and sensitive nature of Scaplen’s Court we must advise that real flame candles are not permitted.
Can we use and / or move any of the furnishings within Scaplen’s Court for decoration?
We have some items that you are more than welcome to use to enhance your decor. These include our large chalkboard and easel, great for use as a welcome sign. We will go through the particular items with you during your planning.
9) Music and entertainment
Can we play our own music during the drinks reception and / or wedding breakfast?
Yes, we have an IPOD dock available for your use compatible with some IPOD's and also with other devices via jack lead - please enquire regarding compatibility.
Can we have live music outside in the walled garden during the drinks reception?
Yes, we do permit music outside. This must be of moderate background volume and end no later than 8pm or dusk if earlier.
Can we have a live band or DJ in the evening?
Yes, live music and a DJ/disco is permitted within our main room (the Upper Hall). Music must finish no later than 11.45pm. Your live band and / or DJ must consider our proximity to our neighbours and sound levels will be monitored. We do reserve the right to ask the levels to be turned down if necessary.
Can we have a smoke machine?
The use of smoke machines and / or foggers is not permitted in Scaplen’s Court.
